Who we are

My City Plants is a Manhattan office plant design and maintenance company. Our address is 522 46th Ave, Long Island City, NY 11101, and the easiest way to reach us is through our contact form. We are responsible for the information described on this page.

What we collect

We only collect information you choose to give us, plus the basic technical details every website receives.

• Quote requests. When you ask for a quote we collect your name, job title, company, email, phone, office address, details about the space (size, floors, timeline, the service you want), how you heard about us, any notes you add, and any photos, floor plans or PDFs you attach.
• Contact form. When you send us a message we collect what it is about, your name, email, phone and address, plus a few questions that fit your reason for writing (for example a company name, an order number, a publication, a website or a deadline) and your message.
• Cost estimator. If you ask for a copy of an estimate we collect your email, your company name if you give it, and the numbers you entered.
• Scheduling. If you book a walkthrough, Calendly collects your name, email and the time you pick.
• Blog comments. Comments are run by Hyvor Talk, which handles sign-in and stores your name, email and what you write.
• Technical details. Like every website, ours records basic details such as your IP address, browser type and the pages you visit in server logs. We use this to keep the site running, to stop spam and abuse, and to limit how often one address can submit a form.

How we use it

We use your information to:

• Reply to your request and prepare a proposal.
• Schedule and carry out a walkthrough of your office.
• Send emails about your request. After you ask for a quote we send a confirmation, and if you have not booked a walkthrough we may send a couple of reminders over the following week. Reply to any of them and we will stop.
• Run our business, including invoicing and record keeping for existing clients.
• Keep the site secure and understand how it is used so we can improve it.

We do not sell your information. We advertise on Google and Microsoft Bing, and their tags on this site tell us when someone who clicked one of our ads goes on to ask for a quote. We don't use your information for any other advertising.

Who we share it with

We share information only with the companies that help us run the website and the business. They may use it only to do that work for us.

• Vercel hosts the website.
• Neon runs the database where form submissions are stored.
• Cloudflare stores the files you attach to a quote request.
• Airtable is where our team manages quote requests and contact messages.
• Resend delivers the emails we send you.
• Calendly handles walkthrough scheduling.
• Hyvor Talk runs blog comments.
• YouTube provides the videos embedded in some blog posts. YouTube may set its own cookies when you play one.
• Google Analytics and Fathom Analytics measure site traffic.
• Google Ads and Microsoft Advertising measure whether our ads lead to quote requests.

We may also share information when the law requires it, to protect our rights or safety, or if My City Plants is sold or merged with another company. In that case your information would pass to the new owner under this same policy.

Cookies and analytics

We use Google Analytics to understand how people use the site: which pages get visited, how long people stay, and roughly where visitors come from. Google Analytics sets cookies to tell repeat visitors apart. Google explains what it does with this data in its privacy policy, and you can stop it from collecting your visits with Google's opt-out browser add-on.

We also use Fathom Analytics, a privacy-focused tool that counts visits without cookies and does not follow you across other websites.

We also use Google Ads and Microsoft Advertising tags. They set cookies so each ad platform can tell when someone who clicked one of our ads later sends a quote request. You can turn off personalized ads in your Google and Microsoft account ad settings.

Services embedded in the site, such as YouTube, Calendly and Hyvor Talk, may also set their own cookies when you use them, and their privacy policies apply to those.

How long we keep it

We keep quote requests, contact messages and estimator sign-ups for as long as we need them to serve you and keep proper business records. If you would rather we delete yours, let us know and we will.

Your choices

You can ask us at any time to:

• Tell you what information we hold about you.
• Correct anything that is wrong.
• Delete your information, unless we need to keep it for legal or accounting reasons.
• Stop sending you follow-up emails.

Send us a note through the contact form and we will take care of it. If you live in California or another place with its own privacy law, these rights apply to you too, and we will never treat you differently for using them.

Security

The site uses encrypted connections (HTTPS), access to your information is limited to the people who need it, and the services listed above run their own security programs. No system is perfectly secure, but we take reasonable care.

Children

This site is for businesses. It is not directed at anyone under 16, and we do not knowingly collect information from children.

Changes to this policy

If we change how we handle your information we will update this page and the date at the top. Significant changes will be noted here for a while so they are easy to spot.
